What Month-Of Coordination Actually Means

This isn’t “day-of only” support. I step in 4-6 weeks before your event to:

  • Review and refine your timeline

  • Coordinate with all vendors

  • Manage logistics and communication

  • Create a detailed run of show

  • Handle day-of execution and problem solving

You stay focused on your guests, your brand, and the experience you’re creating. I handle everything else.

A single day of support rarely works for events. Most experienced event professionals will step in prior to your event to ensure that both you and the coordinator (hopefully, me) are prepared and confident in your event plan.

Weeks 4-6 Before Event:

  • Vendor communication and coordination

  • Timeline refinement and run of show creation

  • Logistics review and problem-solving

  • Final walkthrough and prep

Week of Event:

  • Final vendor confirmations

  • Day-of timeline distribution

  • Any last-minute adjustments

Day of Event:

  • Full event management and execution (typically 8-10 hours)

  • Vendor coordination and oversight

  • Timeline management

  • Guest flow and experience support

  • Problem-solving and calm presence

  • Setup and breakdown oversight

After Event:

  • Vendor wrap-up and final communication

  • Debrief conversation (optional)

INVESTMENT

Month-Of Event Coordination: $2,000 - $2,500 Final pricing depends on event complexity, guest count, and timeline.

What determines pricing:

  • Guest count and event size

  • Number of vendors and moving pieces

  • Timeline complexity

  • Venue logistics

  • Setup/breakdown needs

I offer a limited number of coordination spots per year to ensure every event gets my full attention.

Do you plan events from start to finish?

Not typically. My focus is month-of coordination and strategic consulting. If you need full-service planning, I can refer you to trusted partners - or we can discuss a custom package.

What types of events do you coordinate?

Primarily business events, brand experiences, client gatherings, retreats, workshops, and celebrations. I occasionally take wedding coordination through referrals, but my primary focus is business-related events.

Ideally 3-4 months before your event, though I sometimes have availability for shorter timelines.

The earlier you reach out, the better. Industry-wide, folks are accustomed to booking 6-10 months out, which means that I do have clients who are looking waaaay in advance to secure their date.

How far in advance should I book?

What if my event is outside of the Portland area?

I work throughout Oregon (and extend consulting and virtual coaching beyond state lines). Travel logistics are discussed during our initial conversation.

Can I hire you for just day-of support?

For very small, simple events (under 25 people), I occasionally offer day-of only support. But for most events, the month-of support is what ensures everything truly runs smoothly.
